HOW TO PROCESS A VOLUNTEER…

So, you've found a wonderful volunteer to help in your classroom or to volunteer for a field trip. What do you – and they – need to do?
- The volunteer must completely fill out a School Volunteer Application and submit to an ID check.
- If a volunteer is under 18 years of age, an Under "18"Volunteer Application with an ID check is required. The Under "18"Volunteer Application includes a parental permission section that must be signed by a parent.

Which volunteers must be fingerprinted?
Any volunteer who will be an overnight chaperone must be fingerprinted. It is recommended that chaperone volunteers are in groups of two. Finger-printing is a secondary level of screening but results are not immediate. If you are planning to be an overnight chaperone, please have your fingerprints done as far ahead as possible. A minimum of 6(six) weeks is required to process overnight chaperone screening.
Where do volunteers go to get fingerprinted?
When fingerprinting is required, a school contact checks the box for "Fingerprinting Required" on the School Volunteer Application. The school contact does the ID check and attaches the picture ID to the application. The volunteer then takes the original application to the Finger-print ID and Background Office, open Monday through Friday, 9:00 am to 12:00 pm, 12:30 pm to 4:00 pm closed for lunch between 12:00pm and 12:30 pm. Are volunteers screened every year?
Yes, to protect the safety of our children, annual screenings are necessary.
Do substitute teachers or other employees of WCSD need to fill out a School Volunteer Application or be fingerprinted?
Substitute teachers or employees who are volunteering need to fill out a School Volunteer Application to establish them as volunteers for liability coverage, but they do not need to be fingerprinted.
Remember: Our volunteer regulations were put in place to protect our students, the volunteer, the school, and the district itself. Please remember to follow these procedures whenever you hire a volunteer.
